This Google Drive templategives you a ready-made folder structure organised around the four core areas ofyour music career: press and promotion, contracts and legal documents, musicand recordings, and events and touring.
Before you download a zipfile, save to your drive and start adding files, take 10 minutes to read thisguide and set up your naming conventions. A consistent system from the startwill save you hours of searching later.
Step 1: Download the folder template
This is a view only folder template. To use this template you have to download it as a zip file.
● Right Click on the folder : ARTIST NAME
● Click download as Zop
● Go to File > Make a copy in your GoogleDrive (or other cloud filing system such as Dropbox).
● Rename it to your artist name, e.g. 'Jane SmithArtist Files'. Keep it in your personal Google Drive or a shared drive you control.
Step 2: Personalise the top-level folder
Rename the root folder to match your artist name. Do not rename the four numbered top-level subfolders (01_Press, 02_Music, 03_Contracts, 04_Events, 05Business). These should stay consistent. Inside 04_Events, you will need to create and name subfolders for each gig or tour, e.g. “2026-03-11RamblinRascalTavern” or “2026-04-22 RegionalTour”. The same applies to02_Music, where you’ll create a subfolder for each release.
Step 3: Set up sharing carefully
Only share individual subfolders with people who need them, not the whole drive. For example, if you have a manager, they might need access to 03_Contracts but not 04_Events. You will likely want to make your EPK folder viewable so anyone on the Internet with the link can view.
Step 4: Follow the naming conventions
Consistent file naming is the single most important habit in this system. See the File Naming section below.
